Request for Quotation: Meeting and Catering Services for Tethys Project Event
The International Commission for the Protection of the Danube River is organising a 1.5-day event on 2-3 June 2026 in Vienna in the framework of the Project Tethys (DRP0200037), funded by the Interreg Danube Region Programme.
The ICPDR is looking for meeting and catering services for this event and invites interested companies/organizations to submit an offer.
Services requested
Meeting services (CPV-Code 55120000-7)
- Providing a meeting room for 1.5-day with appropriate technical facilities and equipment (e.g., projector, screen, sound system, laptop, IT support);
Catering services (CPV-Code 55300000-3)
- Providing catering for 40 participants at the meeting venue, including:
- three coffee breaks (morning and afternoon break on the first day, and a morning break on the second day)
- two lunches (sandwich/finger-food; one per day)
Costs of coffee break/lunch packages can be submitted that are available in-house or from an external catering provider. Alternatively, external catering providers can be recommended based on good experiences to further contact.
Offer submission
Offers should be submitted by 21 April 2026 COB including:
- Costs breakdown for meeting and catering services
- The total price for the entire package
In case catering cost figures cannot be provided, the offer shall include recommendations for 3 catering providers.

Evaluation criteria
The commissioning will be awarded according to the lowest bidder principle. The evaluation will be based on the total price offered.
